Friday bars, clubs and societies

Friday bars play an important role in creating a good study environment, and Aarhus University supports these events – for instance by making rooms available. On this website you will find all the relevant forms you need to fill in, as well as information about running Friday bars and general guidelines about the use of the faculty’s premises.

Agreement for borrowing rooms

When you start a society, a club or a Friday bar, you need to complete and sign the following form:

This agreement needs to be signed by the dean or head of school, after which it should be handed in for signing at the Maintenance Office.

 

Appointing a new chair and the role of the chair

When you start a Friday bar, or when a new chair is appointed for a Friday bar, the following form must be completed:

The form must be signed by a representative of the host department and then handed in for signing at the Maintenance Office. It is important that the outgoing chair informs the new chair about their areas of responsibility and duties.

A meeting is held by the Building Services team and the chairs of our Friday bars in the middle of each semester.

Other events at the Faculty of Arts

Staff and students at Aarhus University can borrow premises at the faculty for any events that are relevant for their work or their studies. For further details regarding the use of premises at the Faculty of Arts, please see below.

Please complete and sign this agreement no later than 14 days before the start of events which are to be held at the Faculty of Arts using the faculty’s premises.

Steps in the process involved in borrowing rooms

1.    The organisers of events in lecture theatres or classrooms must book the premises they want in advance at the faculty’s planning office (Lokaleplanlægningen). The organisers of events in study areas or Friday bars should contact the Building Services team at the Faculty of Arts.

2.    Events are subject to the approval of the school/host department representative, who must also sign the agreement.

3.    The organiser must hand in the agreement for signing by the Building Operations and Maintenance Office, where the practical details will be explained.

4.    The organisers of events in lecture theatres or classrooms must send an email confirming the agreement to the faculty’s planning office (Lokaleplanlægningen). 

Representatives of the host department

The representatives of host departments approve events held at the Faculty of Arts, and plans relating to Friday bars for the coming semester, before any events are held. The representatives of host departments must be informed of any changes occurring before events are held. Their approval is required before the Building Services team are informed. General guidelines

The organisers of events held at the Faculty of Arts are expected to be familiar with AU’s general guidelines for events at which alcohol is served, as well as being familiar with the additional guidelines issued by the faculty. The organisers are also expected to have read and accepted the guidelines of the Faculty of Arts relating to the use of the faculty’s premises, and to be familiar with the guidelines for handling fire and evacuation.
