Booking airline tickets – AU recommends CWT

It is easy to book an airline ticket yourself through AU's travel agency, Carlson Wagonlit Travel Danmark (CWT). Go to the CWT online platform, where you can book flights as well as hotel accommodation. You can also ask a secretary for help.

Another option is to buy your ticket directly on the airline's website. However, AU recommends that you book your flight through CWT, because AU will then obtain valuable carbon-emissions data. This data can be used in the AU greenhouse gas emissions report. 

Compensation for flight delays:
In certain situations, airline companies pay compensation in the event of flight delays.

This compensation is credited to the passenger, i.e. the AU employee.

However, in accordance with the Agreement on Official Travel (tjenesterejseaftalen), Aarhus University must still include the extended travel time resulting from the delay in the employee’s travel time, and it must also incur any additional expenses connected to the delay.

Furthermore, in the event of an emergency situation abroad, AU has a better chance of knowing whether any of its employees are staying in affected areas if the employee has booked tickets through CWT. 


To book airline tickets on the CWT online platform, you need a CWT travel profile and a profile in RejsUd*. The same applies if a secretary books the ticket for you.

Once you have logged into the CWT online platform, you can search for flights by clicking on ‘Book a full trip’.

Note: Booking airline tickets for non-AU employees must always be through an approved travel booker. The travel booker is usually a secretary at the department/unit.

* Profiles for new employees are automatically created in RejsUd during the first week of each month. If a profile is needed sooner, a combined form for RejsUd and CWT profile creation must be filled in.

Discount rates on the purchase of airline tickets

Through the CWT portal AU has fixed discount rates on the purchase of airline tickets in collaboration with the following airlines:

  • Air France
  • Emirates
  • Finnair
  • Icelandair
  • KLM Royal Dutch Airlines
  • LOT Polish Airlines
  • Norwegian
  • SAS/Singapore Airline

The framework agreement gives you access to 301 routes within domestic, Nordic, European and intercontinental routes.

Please note that hand luggage is always included in the fare.

Bonus points
The bonus points that you earn in connection with an AU buisness trip belongs to the university and must be deducted future buisness trips.
