How to use employee signature from NemID

An employee signature from NemID proves your identity and is linked to AU’s CVR number 31119103. You may use the employee signature when you perform actions on behalf of the university.

The employee signature is used to log in to various services (i.e. virk.dk, SKAT.dk, optagelse.dk) when you log in on behalf of Aarhus University.

In principle, you can also use the employee signature to send signed and encrypted emails. However, AU IT recommends that you use AU’s secure email solution instead.

The employee signature cannot be used to sign Adobe documents because of security problems.


How to get an employee signature from NemID

Send an email to medarbejdersignatur@au.dk from your AU email address to have an employee signature from NemID created.

NB!

  • You cannot order an employee signature from NemID on behalf of others.
  • It is not required that your immediate supervisor approves the order.
  • You cannot use NemID's ordering system to order an employee signature.

When AU IT has received your email, we will check your employment in AU’s systems. To the extent possible, your civil registration number (CPR No.) will be linked to the employee signature to ensure that it is unique and valid.

The university usually uses a so-called key file and not a key card (the app or the card you probably know from your private NemID).

How to install an employee signature from NemID

When your order has been processed and your employee signature has been issued, you will receive two emails:

  1. one from NemID/Nets sent by ‘Nets DanID A/S’ with ‘Velkommen:{j}Sådan aktiverer du din NemID medarbejdersignatur’ (Welcome: How to activate your NemID employee signature’ in the subject field.
  2. one from AU usually sent by ‘Opgavesvar, AU IT’ with ‘Service ID:{j}ITxxxx - Ny kommentar...’ (Service ID: ITxxxx - new comment...) containing your start code and an installation guide.

Use the Chrome browser when you install the employee signature from NemID. Please note that you have to click the same installation link up to three times:

  1. Click the installation link in the email from NemID/Nets the first time. The key file program extension is installed in the Chrome browser. Do not click 'Aktivér synkronisering' (activate synchronization) if this button appears. Finish by closing the browser.
  2. Click the installation link in the email from NemID/Nets for the second time. The key file program will be installed if it is not on your PC, and you can then close the browser. If you are asked to enter your username and password, please contact your local IT support.
  3. Click the installation link in the email from NemID/Nets for the third time. The employee signature is installed. Follow the step-by-step guide (Danish only) from NemID/Nets.

Personal NemID vs. employee signature from NemID

NemID is a digital signature from NETS which is available in two versions. One for personal use which is used to identify you as a person including login in connection with public services, banks etc. One for companies/institutions, called an employee signature, which is used for administrative login on the institution’s behalf and for secure, encrypted email.

Examples

  • As a researcher, you should, for example, use your personal ID when you apply for research funding with the research council via e-grant.dk, because you apply personally and not on behalf of Aarhus University.
  • In general, as a union representative, you should use your personal NemID to approve internships, jobs with salary subsidies and similar in VITAS. In industrial matters, management representatives use their employee signatures because they represent Aarhus University, whereas staff representatives use their personal NemID because they represent the people who work here.

About digital signatures

What is a digital signature?

Among other things, a digital signature is used to identify you as a user of an IT system and to sign documents or exchange confidential emails.

On a Windows computer, a digital signature is called a certificate. There are a number of certificates, for example:

  1. AU certificate: The certificate is issued by AU IT and can be used to identify an AU user and an AU computer.   It can also be used to sign, for example, PDF files for internal use at AU.
  2. Employee signature from NemID:  Employee signatures are issued by NemID/NETS and can be used for login on various websites and for signing documents digitally in a number of systems.

How to see which digital signatures you have on your AU computer

If you want to see which digital signatures you have on your AU computer, you can open Certificate Manager. Follow these three steps to open Certificate Manager:

  1. Press Windows key + R (Run)
  2. Write CertMgr.msc and press Enter
  3. Find Personal -> Certificates  

If you only have one AU certificate, it will look like this:

Usually, on an AU computer, you will be identified by a certificate with your AU ID. If you do not have an AU certificate and need one, please contact your local IT support.
