On 20 August, Aarhus University goes from using approximately 200 different EAN numbers to only using about 70 numbers in future. This means that some departments and units will need to use another EAN number from now on, while others will continue to use the same EAN number as they do now.

Check your department’s EAN number

When you as an employee order goods or services from Danish suppliers, you should therefore be aware of whether or not your department is getting another EAN number. If so, the new EAN number must be used in connection with all future orders of goods or services from Danish suppliers.

The EAN number is crucial for receiving electronic invoices correctly in the IndFak system used for handling Aarhus University’s invoices. If a supplier uses an EAN number that is no longer active, Aarhus University’s system will not be able to receive the invoice. This means extra case handling by both Aarhus University and the supplier.

Aarhus University has notified the suppliers we have used in 2012 of the new EAN numbers. To be on the safe side, however, staff members are encouraged to point out to suppliers any new EAN numbers when they order goods or services.

A step on the way to joint financial management

The reorganisation is partly due to the implementation of Aarhus University’s new organisational structure with fewer main academic areas and departments, and partly due to the implementation of a joint financial management model at Aarhus University. In this connection, the IT systems that Aarhus University uses for financial management will be converted during August and September to reflect Aarhus University’s new organisation. At the same time, the university’s EAN numbers will be restructured.
