New recruitment system on the way – here’s how this will affect recruitment until 1 August
Aarhus University is switching to a new recruitment system - Statens Rekrutteringsløsning (SRL). All recruitment will take place in the new system from 1 August. There will be a transition period starting 1 June, when we’ll start phasing in SRL. HR will help users every step of the way. Here’s what you need to know about the new system if you’re hiring.
AU is switching to a new recruitment system. This is because the supplier of AU’s current system, Emply Hire, has decided to phase out the solution and cease supplying the public sector. The current system will be replaced by Statens Rekrutteringsløsning (SRL), a system used by other Danish universities like the University of Copenhagen, Copenhagen Business School and Roskilde University.
How will this affect job postings during the transitional period leading up to 1 August?
All recruitment processes, both ongoing and upcoming, can proceed as planned. However, there are some deadlines and issues you’ll need to keep in mind.
- As a rule, new job postings for technical/administrative positions must be created in the new system from 1 June 2026. It will also be necessary to create academic job postings in SRL. A more detailed schedule for this will be announced by your local HR team.
- The exception is recruitment processes that can be concluded before 31 July 2026: these job postings can be created in Emply Hire after 1 June. If you’re not sure whether a particular recruitment process can be completed within this timeframe, please ask your HR team.
- During the transitional period, there will be job postings in both systems. Any transfer of postings between the systems will be planned and handled in dialogue with your local HR team, so that critical phases such as the application period, assessment and interviews will be affected as little as possible.
- Previous job postings will be saved before Emply Hire is shut down, and your local HR team will be able to retrieve them if necessary later on. The same applies to applicant data; however, this data will only be saved for six to nine months.
What’s different about the new system?
While nothing will change about the overall steps in the recruitment process, generally speaking, SRL has fewer customised functions than Emply Hire. As a result, there will be some adjustments to workflows around assessment and access to materials. HR will provide users will the support they need to make sure that these changes are dealt with effectively with the least possible impact on recruitment processes.
Where to get help
- You’ll find information about the system, FAQs, contact details and more on the project’s website. Please note: At the moment, the website is primarily in Danish, but once SRL goes live, it will feature guides in both Danish and English, as well as information on training and support.
- In connection with time-sensitive recruitment processes, we recommend contacting HR as early as possible in the process.
Any questions?
- Please contact your HR team or HR partner for further information and guidance.
AU is switching from Emply Hire to Statens Rekrutteringsløsning (SRL).
Aarhus University is switching to a new recruitment system because the supplier of Emply Hire is phasing out the solution as of 1 August 2026. Statens Rekrutteringsløsning (SRL), which is provided by the Agency for Public Finance and Management and is widely used across the public sector in Denmark, has been selected as the new solution at AU. Statens Rekrutteringsløsning (SRL) has been selected based on analyses of AU’s needs, its current solution, and the market.
The implementation of SRL will take place leading up to the July summer holidays in 2026; the aim is for the system to be operational before most employees go on holiday in July. This is a relatively short timeframe, and as a result some features and improvements will not be implemented until after 1 August 2026.
