Tender concluded: AU has selected a cleaning services supplier for two locations
A cleaning service supplier for the AU Exam Hall and Aarhus BSS’ buildings in the University City has been selected. AU cleaning staff will be transferred to the new supplier.
AU has just concluded a comprehensive tendering procedure that involved employees at multiple levels. Four tenders for the contract for cleaning the AU Exam Hall and Aarhus BSS’ buildings in the University City were received.
The bids were thoroughly evaluated based on the university’s criteria for price and quality. Kongsvang Cleaning & Facility won.
This local Aarhus business already has a contract to clean a number of other buildings at the university. Now Kongsvang Cleaning & Facility A/S will also be responsible for cleaning AU Exam Hall in Lisbjerg and the buildings in the University City that Aarhus BSS will move into later this year.
In light of the fact that several new buildings will be put into use within a short period of time, it made sense to make sure AU selects the overall most advantageous solution, says university director Kristian Thorn:
"As a state-sector institution, we're legally required to regularly evaluate whether having outside companies take over operational tasks would be an advantage. In this case, we decided that working with an external supplier is the right choice for the university, based on an overall evaluation of price and quality."
Recommendation from working group
The senior management team made the decision to award the contract to Kongsvang Cleaning & Facility A/S based on the recommendation of a working group comprised of employees from Aarhus BSS, AU HR, AU Estates Projects and Development and AU Finance.
The working group evaluated four tenders, as three external providers submitted bids to compete with Aarhus University's own reference tender.
The four tenders were evaluated on both price and quality, which included factors like the suppliers’ approach to occupational health and safety, onboarding and retention of employees. The price-quality ratio used to evaluate the tenders was 40/60.
"The working group and the steering committee for the tender both found that that Kongsvang Cleaning & Facility submitted the best offer overall, and we members of the senior management team agreed with this evaluation. This process was quite a big job, and I’d like to acknowledge that. This goes all the way back to the drafting of the tender materials, a process to which the local liaison committee and the Main Liaison Committee tender advisory group gave important input,” University Director Thorn says.
Twelve employees will be transferred to the new supplier
As a consequence of this decision, the twelve AU employees who currently perform this work will be transferred to Kongsvang Cleaning & Facility on their current salary and employment terms, in accordance with the provisions of the act on the transfer of business activities. The transfer will take place when the company takes over the task, on November 1 2025 and 1 January 2026 respectively. In their tender, Kongsvang described their plan for onboarding these employees so as to ensure to ensure a good introduction to their tasks going forward.
