Get tips and tricks to help you get the most out of Teams Phone System

The old desktop phones at AU have all been disconnected, because the landlines have been replaced by Microsoft Teams. For a lot of us, using our computers as phones is new. To help us all get up to speed, AU IT is now offering short training sessions to introduce everyone to the different functions in Teams Phone System.

Since the spring, AU’s IT department has discontinued or moved some 7,000 landline numbers to Microsoft Teams, which now serves as AU’s new telephone system – in addition to being used extensively for video meetings, chats and as a collaborative platform.

In general, telephony in Teams is more flexible than the old desktop phones. But it also works differently, and for many of us, the new features will take some getting used to.

On AU’s Teams Telephone System webpages, you’ll find a video course that introduces you to the most important functions.

Training sessions for staff - especially if you take a lot of calls

In addition, AU IT is now offering flexible training sessions that are tailored to the specific needs of groups or teams that will introduce them to the functions they need to use.  These trainings sessions are for all interested staff. They’re particularly relevant for staff who take a lot of calls, for example to the university’s main contact numbers, or in connection with a system support role. They’re also relevant for staff who are just generally unsure about the best way to use Teams Phone System in connection with their work.

Questions a training session addresses might include:

  • How does the ‘busy on busy’ function work, which lets you control how teams handles incoming calls if you’re already engaged in another call?
  • How does the answering machine work in Teams?
  • How do you create a call queue?
  • How do you take Teams calls on your mobile phone?
