Collective agreement 2024

Changes have been made to the collective agreement in the state sector that provide greater flexibility with regard to your pension and your ability to accumulate (save up) leave. These changes take effect in the spring of 2025. 

Aarhus University is awaiting the final agreement documents, which need to be in place before we can implement the new rules. 

HR will keep you updated on the upcoming changes as the official circulars are released.

What is changing?
 

Increased pension contributions

From 1 April 2025, pension contributions will be increased for staff employed in accordance with the collective agreements for certain state employees, for example for academics, administrative officers, laboratory technicians, members of IT staff and skilled tradespeople, among others. This will happen automatically as the collective agreements are made public and with retroactive effect from 1 April 2025.

Pension - freedom of choice

From 1 April 2025, it will be possible for most staff groups at AU to have pension contributions in excess of 15% disbursed as salary or paid into a savings scheme linked to their pension scheme, provided that their pension provider offers this option.

Unless otherwise agreed, the full amount will still be paid in as pension contributions. If you want a different solution, you must actively select this. You are bound by your choice for 12 months.

For administrative officers (AC) , the pension contribution on their availability supplement is 12.5%. Instead of having this pension contribution paid into your pension scheme, you can choose to have it paid out (in full or in part) as salary or paid (in full or in part) into a savings scheme connected to your pension scheme.

If you wish to exercise your choice, you must fill in the ‘Optional pension contribution form’ and submit it to your local HR department. PhD fellows must submit the form to AU HR’s Payroll Office.

If you need guidance on whether to choose pension contribution or salary, we recommend that you contact your union representative, your trade union and/or your pension fund.

Accumulation of Leave

As part of the 2024 collective agreement negotiations, the Danish Ministry of Finance and the Danish Central Federation of State Employees’ Organisations entered into the Circular on the Agreement on the Accumulation of Leave , which takes effect on 1 May 2025.  Trainees/apprentices (elever) are exempt from the agreement.

The agreement does not grant you additional leave, but it gives you a new option to accumulate (save up) the leave you've already earned. This applies to:

  • Accumulation of special days of holiday 
  • Accumulation of time off in lieu (afspadsering) that you have earned as compensation for overtime and additional work

You may accumulate a maximum of 15 days, of which no more than 8 days may be time off in lieu as compensation for overtime/additional work.


Accumulation of special days of holiday (særlige feriedage)

You may choose to accumulate your special days of holiday (særlige feriedage) starting with the 2024 holiday year. If you wish to do so, you must notify your line manager no later than 1 September within the holiday period.

Example: If you wish to save 5 special holiday days earned in 2024 (available to you from 1 May 2025), you must inform your line manager by 1 September 1 2025. 


Accumulation of time off in lieu from overtime and additional work

Certain employees may accumulate time off in lieu (afspadsering) earned as compensation for:

  • Overtime and part-time employees’ additional hours up to full time (Section 8 of the Agreement on Working Hours for State Employees)
  • Additional work (Section 9 of the Agreement on Working Hours for State Employees)
  • Converted inconvenience allowance (Section 13(2) of the Agreement on Working Hours for State Employees)
  • Weekend work (Section 14 of the Agreement on Working Hours for State Employees)
  • Cancelled days off (Section 16 of the Agreement on Working Hours for State Employees)
  • Evening and night work within the 37-hour workweek (Section 17 of the Agreement on Working Hours for State Employees)
  • Additional work according to the provisions in Section 14 of the collective agreement for university graduates employed by the state

If you are an AC employee, please note that your options to accumulate this type of leave are limited. Members of academic staff, special consultants and senior consultants are exempt from the rules on compensation for additional work – so these members of staff can only accumulate special days of holiday.

Remember to notify your line manager if you wish to save up time off in lieu – and do it before the deadline for time off in lieu expires. If you have agreed to have your hours paid out, you cannot also save up these hours.

Flextime cannot be saved up under this agreement, because flextime does not count as ordered overtime/additional work.


Taking the leave you have accumulated

We are currently working to integrate this new leave scheme into MitHR,  and we expect to have a solution in place by mid-August.

You may take your accumulated leave as full days or full hours. As a general rule, you may take up to 8 days a year, but no more than 2 consecutive days at a time. If you wish to take more than 8 days a year or more than 2 days in a row, you will need to agree this with your line manager.

If you change positions internally at AU, you may take your accumulated days of leave with you.

If you leave your position at AU, you will get any accumulated days of leave paid out as salary.
