What we need from you

To help us provide the best service, please give us some background information when you book a photographer:

  • What will the photos be used for? Internal/external, platform(s), etc.
  • When and where will the shoot take place, and who will coordinate it?
  • When do you need the final edited photos?

How to prepare for your photo session

Putting some thought into your clothes can improve the quality of your profile photo. For example, small patterns don’t show up well in photos.

  • We recommend that you go with darker rather than lighter colours: in our experience, they’re more flattering.
  • It’s also not a good idea to wear a low-cut or sleeveless top: this sometimes looks odd in the final version of the photo, after the photo is cropped.
  • If you wear glasses, make sure they’re clean.
  • We also ask that you cancel your session if you’re unable to come. We normally have a waiting list, and someone else will be happy to take your place.

As a rule, all photos should be credited with: ‘Name of photographer/AU Photo’.

You don’t have to credit the photographer when using photos for the focus fields at the top of a webpage or for very small digital photos.

You can credit the photographer in printed media in the caption or in the colophon.

AU's photo archive and stock photos

In AU's own photo archive, you can download photos taken by AU's photographers. In AU's own photo archive, you can download photos taken by AU's photographers dating as far back as 2012.  It is updated regularly.

You can search under headings like student life, architecture, conferences and teaching (in Danish), or you can search for specific individuals.

To use the photos, you need to accept the overall conditions of use for AU photos:

  • They may only be used in publications, presentations, websites, social media accounts and other formats that are associated with Aarhus University.
  • A photo must not portray the subject in a manner that could be perceived as unflattering, misleading, or inappropriate in the given context.

This is particularly important if you’re using an photo for marketing purposes. And remember that you can only use photos for marketing if the subjects have consented in writing. To find suitable photos, do a search using the word ‘samtykke’ (consent).

Colourbox

Colourbox is a large archive of stock photos that AU employees can get access to by sending an email to foto@au.dk. – Colourbox.dk

AU pays a fixed price per download, so you should only download the photos you know you will need. You can put photos you want to use the shopping basket before downloading them.
