Language services for the faculties

AU has a framework agreement with the translation agency Semantix. On this page you can read about their services, prices, quality levels and how to order translations.

Who should use the agreement?

All employees at the faculties should use the agreement with Semantix for non-academic translation tasks between Danish and English that are not performed in-house.

Semantix also offers a number of other language services, including translation/copyediting of academic articles and translation between other languages, which may be relevant for members of technical/administrative and academic staff.

Please note that employees at some faculties/departments/schools have to follow specific procedures when ordering translations, and that the Faculty of Arts (and some departments/schools) have their own language services (Sprogservice). We recommend that you consult relevant staff portals or ask your manager or department secretary for advice before ordering language services for the first time.

How to order a translation from Semantix

At Semantix, a small team of 2-3 dedicated project managers monitor and handle all translations from AU.

To order a translation, send an email to [email protected]  with the translation attached.  

One of the project managers at Semantix will then send you a quote, which is calculated based on a word count, analysis, task description and the agreed prices. (Please note that the listed prices are not negotiable.) 

Semantix will invoice you after each completed task. If necessary, you can arrange for Semantix to invoice you after every month or quarter.

Translation between Danish and English

Semantix offers three quality levels at different prices. Prices are per word and excl. VAT*:

  • Lightly edited machine translation - price per word DKK 0.95
  • Standard translation - price per word DKK 1.45
  • Premium translation - price per word DKK 1.65
  • Minimum price for all tasks - DKK 700

Before placing an order, please read our recommendations for choosing a quality level.

*In some cases, the final price will be lower than number of words x price per word. This is because Semantix gives a discount for any content it can reuse from previous AU translations. Semantix performs an automated analysis to determine how much context can be reused.

  • Copy adaptation: hourly rate in addition to translation – DKK 700 (by agreement)
  • Transcreation: hourly rate – DKK ​​800 (based on time spent)
  • Research related to specific tasks: hourly rate – DKK 700 (by agreement)
  • Managing customer validation: hourly rate – DKK 700
  • Review of client’s own AI-generated content: hourly rate – DKK 700
  • Minimum price for all tasks: DKK 700
  • Project management*: hourly rate – DKK 700
  • File preparation** – DKK 600

*Semantix only charges for project management in particular cases and only by agreement (in these cases, a minimum of half an hour is charged). Project management of standard tasks and the handling of enquiries is free of charge.

**Applies to preparing certain files (e.g. InDesign or PDF files) so that they can be translated in AU’s own translation system, Phrase.

Copy adaptation and transcreation

What is copy adaptation?

Copy adaptation is a creative process in which the translation is carefully adapted to the new target audience and cultural context. This process ensures there is a natural flow in the target text, particularly regarding headlines and other creative elements. Copy adaptation is carried out by a copywriter/translator with expertise in the relevant field.

What is transcreation?

Transcreation is a creative process that doesn’t use machine translation or translation technology. The task is carried out by a copywriter/translator with expertise in the relevant field. The target text appears as if it were created in the target language. 3-5 versions of the translation are delivered with back translations of the different versions and comments/explanations of the thought processes behind each version.

Quality levels

Lightly edited machine translation

The translation is a grammatically, syntactically and semantically correct reproduction of the source text, but terminological and stylistic consistency is not taken into account. It is performed by a single translator who machine translates and post-edits the text in AU’s own translation system. The specific machine translation engine used will depend on the domain and genre of the text. 

Standard translation

Performed by a professional translator with extensive experience in the relevant field. The translation is proofread by the translator. (The service is consistent with the service referred to in ISO 18587:2017 as 'full post-editing'.) The translation is precise, understandable and stylistically consistent with the source text, with correct syntax, grammar and punctuation, as well as terminological consistency. The translator uses AU’s term base for quality assurance.

Premium translation

Performed by a professional translator with extensive experience in the relevant field. The translation is proofread by another translator with a similar profile (following the four-eyes principle) to the extent that is appropriate in relation to the nature of the individual task.  The extra quality assurance ensures that the translation is fit for the intended purpose in every way.

Choosing a quality level – our recommendations

In most cases, you will want to choose between a standard translation (DKK 1.45 per word) and a premium translation (DKK 1.65 per word).

We have assessed that standard translation is satisfactory and reliable for most everyday administrative operational tasks.
We have agreed with Semantix that tasks from AU will be completed as standard translations unless otherwise specified when ordering the translation.

We encourage you to choose premium for translations that are particularly visible, high-stakes or high-profile and/or that contain complex/technical-legal/AU-internal terminology.

You should only select lightly edited machine translation (DKK 0.95 per word) if you need to translate large amounts of text quickly at a low price. It’s always a good idea to align expectations with your readers/target group about this.

If you need a very creative text where the target text appears to have been written in the target language (e.g. in connection with a campaign), we recommend you choose transcreation or copy adaptation. Ask Semantix if you’re unsure which solution is best for your task.

Checklist for ordering a translation

When you order a translation from Semantix, please provide the following information in your email:

  • Language combination (e.g. Danish-English)
  • Deadline (be specific: ‘before 3 March’, ‘any time on 4 May’ or ‘in week 14’ – avoid ‘asap’)
  • Quality level (if you require a level other than standard)
  • Contact person for questions about the translation (e.g. a subject expert)
  • Target group for the translation (e.g. students, researchers, international partners)
  • Purpose of the translation / Place of publication (e.g. web text, brochure, template)
  • Context – if sending individual sentences or excerpts (e.g. the rest of the text or website)

Please also consider the following:

  • Are there any relevant reference texts or links to background information that could be useful for the translator?
  • Does the document contain any non-editable text as part of graphics? If so, how should this text be dealt with?
  • Are there links in the text? If so, should they be translated and/or replaced by links to the English website?
  • PowerPoint: Should the notes be translated?
  • Excel: Should all tabs and columns be translated?
  • Are there any parts of the text that don’t need to be translated (macros, headings, etc.)?

Please also ensure that:

  • The source text is clean – no comments or tracked changes
  • The source text is accurate – run a spell check and make sure that the text is ready for translation
