Borrowing vehicles at Aarhus BSS

Aarhus BSS has a total of four vehicles which employees may borrow in relation to work activities.

Vehicles

  • Two hybrid cars at Fuglesangs Allé
  • One electric car in the University Park
  • One electric van in Herning

Rules

  • The cars may be used for work-related purposes only.
  • The cars may be borrowed by employees at Aarhus BSS, not by students.
  • The cars may be used in Denmark only.

Borrowing the car in the North-Eastern Corner

Aarhus BSS has a vehicle in the North-Eastern Corner of the University Park.

  • It is an electric car (Renault Zoe).
  • The car can go a limited distance of approximately 200 km.
  • The car is suitable for 3-4 people.
  • The car is located in the underground parking facility below the social sciences canteen.

How to borrow

Borrowing the cars at Fuglesangs Allé

Aarhus BSS has two vehicles at Fuglesangs Allé in Aarhus.

  • The vehicles are hybrid cars with towbars.
  • The cars are suitable for 4-5 people.
  • The cars are located in the caretakers' area (Pedelgården).
  • If the duration of the stay does not exceed a couple of days, the cars may be used for driving to and from the airport.

The cars are insured based on the above information.


How to borrow

1) Reserving a car

Contact the maintenance office at Fuglesangs Allé with the following information:

  • Purpose
  • Pick-up and return dates
  • Name of the driver
  • Number of people
  • Phone number

2) Collecting the keys

You can collect the car keys as well as a card for buying petrol at the maintenance office at an agreed time.

3) Collecting the reserved car

The cars are parked in the caretakers' area (Pedelgården) between building 2622-C and 2623-D at Fuglesangs Allé.

If you need to pick up or return the car outside opening hours at Fuglesangs Allé, you will receive a key card when you collect the car keys and may use this for accessing the caretakers' area outside opening hours.

4) While using the car

Please print out the documents below and bring them on your trip.

In the event of accidents and damage

The car you borrow is self-insured. This means that any accidents and damages will not be covered by an insurance company, but by Aarhus University's own budget for insurance expenses (just as is the case with all official cars owned by the Danish state).

  • In the event of accidents and damage such as difficulties starting the car, flat tyres and similar, please inform the maintenance office at Fuglesangs Allé.

5) Returning the car and keys

You must return the car keys and car with a full tank at the same place as pick-up.

  • Remember to plug the car into the charging station after use – please follow the instructions on the charging station.
  • Remember to keep the mileage log.
  • The keys and the card for buying petrol must be returned at the maintenance office.

Borrowing the van in Herning

Aarhus BSS has a van in Birk Centerpark in Herning.

  • It is an electric van (Peugeot e-Expert EL 75 kWh).
  • The car can go a limited distance of approximately 300 km.
  • The car is suitable for two people.
  • The car is located in the delivery area.

How to borrow

  • Contact the maintenance office in Herning on how to reserve and borrow the car.
  • Remember to plug the car into the charging station after use – please follow the instructions on the charging station.
  • Remember to keep the mileage log.

Rent a car from an external rental company

If you are unable to borrow one of the cars owned by the university, you may instead rent a car via AU's contract with an external rental company.
