How to use the Outlook mobile app

A number of things have been changed with regard to your usual email program. On this page you'll find guidelines on the things that have been changed.

Good reasons to use the Outlook Mobile app

  • It’s easy to add and see calendars for colleagues and meeting venues.
  • Improved search function. It’s easy to search, e.g. in attached files.
  • Clear planning of meetings. It’s easy to see if people are free.
  • Email and calendar are brought together in one app.
  • Better security

Contacts

As a rule your contacts from your mailbox are not synced to your mobile’s address book. You must activate syncing yourself if you require it. You can always find your contacts from your mailbox within Outlook, without having to activate syncing. See below.

How to find contacts in Outlook

Open Outlook and click on the magnifying glass at the bottom of the app.

 

Enter the person’s name in the search field. Outlook will search through your contacts on the phone and in your mailbox.

How to enable syncing of contacts from your mailbox to your mobile

If you wish to sync your contacts from your mailbox to your phone’s address book, you can activate this feature as follows:

Open Outlook and click on the three horizontal lines at the top left.

 

Click on the cog in the bottom left-hand corner.

 

Click on your email account.

Enable the blue slider next to ‘Sync contacts’

Your calendar

From now on, you should not use the mobile’s general calendar app. Your calendar is now to be found in the Outlook app.

Open Outlook and click on the calendar icon in the bottom right-hand corner.

How to open a colleague’s calendar from your mobile

Open Outlook and click on the calendar icon.

 

Click on the three horizontal lines at the top left.

 

Click on the plus sign at the top left.

Select ‘Add a shared calendar’

 

Enter the name of the person whose calendar you wish to see. Conclude by clicking on the button bearing the plus sign.

 

You will now be able to see the person’s calendar. The calendar is interlinked with your own, but appears in a different colour.

My tasks / Reminders

With the Outlook app, tasks are not automatically synced. You must first install a separate app called To-Do. To-Do automatically syncs with your mailbox.

Focused Inbox

Focused Inbox divides your mailbox into two: Focused and Other. All the important emails, e.g. emails sent directly to you, are displayed under the Focused tab. Newsletters, order confirmations etc. are displayed under the Other tab.

This subdivision makes it easy for you to see the important emails and act on them. At the same time the sound for incoming emails in the Outlook app can be set to play only when an email is received in Focused. This can help you use your email more efficiently.

Click on the cog in the bottom left-hand corner.

Sounds

How to change the sound settings for new emails

Open Outlook and click on the three horizontal lines at the top left.

 

Click on the cog in the bottom left-hand corner.

 

Scroll down to ‘Emails’ and click on ‘Notifications’.

  • Under ‘New email sound’ select a sound if you wish one to play when you receive a new email.
  • Under Notifications, you can choose whether the sound is only to be played when a new email arrives in your Focused inbox, or whether it is always to be played when you receive a new email. You can also choose never to have sounds played. This is the default setting.

Settings for the Outlook Mobile app are to be found within the actual app. This applies to both Android and iPhone.
