Teams for meetings and chat

 

Microsoft Teams is part of the Office 365 package, and it is a great tool for chatting, conducting conversations and holding virtual meetings.

Teams is particularly suitable for informal communication between individuals in a department/unit or on a project, and it has a number of functions that resemble those we know from social media.

Getting started with Teams

To get the best out of Teams, we recommend that you download Teams to your computer.

Participate in a Teams meeting

If you are invited to participate in a Team meeting, you will receive an invitation in Outlook containing a link to the meeting. Click on the link and you will be going.

You can participate in a meeting without installing the Teams app by logging in to www.office.com. You will however have limited functionality. As a result we recommend installing the app.

How to arrange a Teams meeting

How to set up a meeting in Teams (PC)

To set up a meeting in Teams, create a meeting invitation in Outlook, just as you normally do.

Give the meeting a title and select the people you want to invite to the meeting.

  • Click ‘Teams Meeting’

A link to the Teams meeting will appear at the bottom of the meeting invitation, and the participants can click the link and be sent directly to the Teams meeting when it starts.

How to convert a planned meeting into a Teams meeting (PC)

Find the meeting invitation for the meeting you want to change to a Teams meeting and open it.

  • Click ‘Teams Meeting’

  1. A link to the Teams meeting will appear at the bottom of the meeting invitation, and the participants can click the link and be sent directly to the Teams meeting when it starts
  2. Send the meeting invitation again, so that all participants receive the link to the Teams meeting in their meeting invitation

How to set up a meeting in Teams (Mac)

Go to office.com in your browser

Click ‘Sign in’

Log on using your AU ID in the following format:

au123456@uni.au.dk

Write the password belonging to your AU ID.

Approve login with two-factor validation

Click ‘Outlook’

Change to calendar view

 

  1. Select the time you want to hold the meeting
  2. Click ‘More options’

 

  1. Give the meeting a heading
  2. Invite the people you want to attend the meeting
  3. Enable Teams for the meeting so that it looks like this
  4. Finish by sending the meeting invitation

How to convert a planned meeting into a Teams meeting (Mac)

If you have a meeting in your calendar that you would like to change to a Teams meeting, log on to office.com as described in ‘How to set up a meeting in Teams (Mac)’ above.

  • Click ‘Outlook’

Change to calendar view

Find the meeting you want to convert to a Teams meeting and click ‘Edit’.

 

  1. Enable Teams for the meeting so it looks like this
  2. Send out the invitation so that the meeting participants receive the link to the Teams meeting in their meeting invitation
