Official Cars

Nat-Tech Building Services offers a selection of official cars for business transport in Aarhus, Foulum and Flakkebjerg. The official cars may under no circumstances be used for private driving or transport of private individuals. Find all guidelines for driving in official cars here.

NOTE! The old driving logs will be replaced on 1 April with new paper versions. Look for the blue binder in the car. It is very important that all driving is registered correctly in the log. You can find a guide at the front of the driving log.  A fee will be added to the department for all driving that has not been registered correctly in the driving log. If there is no project number (case number) written down, the trip will be registered on the department's project number.

Booking an official car

Users can make their own reservations for company cars in the Outlook calendar. Cars are named in Outlook calendar, as shown in the image to the right:

When booking, state DEPARTMENT – PROJECT NO. – YOUR NAME – PHONE NO. in the subject field. If this information is missing, the booking can be rejected by the admin center.

Students and visiting researchers

Students and visiting researchers must be authorized by the department to use the official cars. The department fills out the authorization form, and this is attached to the booking in the Outlook calendar. It is the department's responsibility to ensure that students and guest researchers who use the official cars have the correct authorisation. Download the form here.

Prices

Internal users - Price per driven km. 3 kr. External users - Price per driven km. 3 kr.

When returning company cars that need additional cleaning, a fee equal to 150 km will be charged to the department.

Pickup and drop-off

The official cars Kia AY21284 and Kia Electric Car CU80941 are parked in the small private car park at building 1520. The keys are located in building 1520 1st floor.

NOTE! The keys to the company cars Kia AY21284 and Kia Electric Car CU80941 have been moved to a key cabinet with ADK card reader, which is located in the small foyer by the parking lot. The key cabinet opens with your AU access card and code. Only employees at the Nat-Tech Administration Center have access to the key cabinet. If you are employed elsewhere at AU and would like to borrow the car, you must contact the administration centre to gain access to the key cabinet. The official car Polo AY46129 is parked at C.F. Møllers Allé 4 at building 1120. The key is located in building 1120, 0 floor. All employees in the administration center have access to building 1120 if you need to pick up/return the car outside the doors' normal opening hours, which are 07.00-17.00.

The official car must be returned immediately after the end of the journey in its correct parking space. The company cars must have at least half a tank of fuel at the time of delivery. In the event of serious breach, an amount equal to 150 km. is charged for cleaning.

The driving log

The driving log, which is located in the glove compartment or car door, must always be filled out:

-Date

- KM counter on return

-Department

- KM driven

- Project number

- Phone number or AU ID

- Full name

If the driving log is not filled out correctly, it will result in a fee of DKK 200 to the department. If there is no project number, the driving will be registered on the department's project number.

Note! On 1 April 2025, the driving logs will be replaced with a new paper version, which is in a blue binder.

Fuel card

Each company car has its own Circle K card, which is linked to the key to the company car in the key cabinet. The card must be used for each refueling of petrol/diesel.  The code is on the card. If you need to use your own credit card/MasterCard for refueling, the cost can subsequently be refunded by Nat-Tech Building Service via RejsUd.

Speeding and parking fines/fees, etc.

If you have received a speeding ticket, parking ticket/fee or other fines, you will have to pay the cost yourself. This also applies if you have received the fine/fee in connection with work-related driving in your own car or in a company car. Thus, you cannot agree with your immediate manager that the fine/fee must be paid by the university.

Electronic fines/fees from driving in a company car are sent to the department at Nat-Tech Building Services to which the car is registered. Nat-Tech Building Service identifies the employee who has been driving the car at the time of the violation and passes on the fine to the employee in question.

Driving abroad

Driving abroad requires insurance, so remember to contact tryg@tryg.dk well in advance with information about the car's registration number, which days it is abroad, destination and that the car must be insured against liability. In addition, the EAN and order number must be stated. Insurance is paid for by the user.

REMEMBER to cancel if the tour is cancelled. In case of no cancellation, a fee equal to 150 km driven will be added per day to the department.

Smoking

Smoking in the carriages is not allowed.

Errors and defects

Defects and defects must be reported when the caravan is handed over to: NT-BygVest.Bygningsservice@au.dk.

Road accidents

In the event of a traffic accident, as a general rule, a police report must be recorded and local facility management called. 

In the driving log you'll find the phone number for Falck, as well as our subscription number. The number must be given when calling for assistance. If an accident occurs and Falck is requested, please notify the facility management. The subscription does not cover stuck four-wheel drives or trucks in fields.

Long-term reserved service cars that are not used will be charged a fee equal to150 km driven per day.

When returning company cars that are extraordinarily dirty, a fee equal to150 km driven will be charged to cover extra cleaning.

Pickup and drop-off

The official car must be returned immediately after the end of the journey. Cars that are not delivered in the evening must be available the next day at 07.50.

The service cars must have at least a quarter tank of fuel upon delivery and be emptied of waste.

In the event of serious breach, a fee equal to 150 km driven will be charged for cleaning.

Fuel card

There are 3 cards for Q8, Circel K and OK. A code must be used when using the cards, this is handed out together with the driver’s log. Receipts must be submitted together with the driving log. The number of liters of petrol is written in the driving log.

It is not allowed to use the petrol cards as payment for a bridge ticket.

Center Operations has entered into an agreement with Falcks Redningskorps on auto assistance for the service cars. In the folder with the petrol card there is a card "Falck's hotline". On the card is stated the phone number for Falck, as well as our subscription number. The number must be given when calling for assistance. If an accident occurs and Falck is requested, please notify the operation. The subscription does not cover stuck four-wheel drives or trucks in fields.

Information and introduction to the total charging solution for AU Nat-Tech cars (Department cars, official cars, etc.)

At Nat-Tech, we have set up charging stations and converted previous Schneider EV-Link to the same system. The charging stations can only be used by Nat-Tech official cars (fleet cars) and by those users who have been given a Verdo-charging chip. Here you will find information on how charging is started and stopped, who manages the solution, the locations of the charging stations, etc.

These charging stations should not be confused with Clever, Norlys or similar, which are also set up in our shared staff parking lots. These are set up by the Danish Building and Property Agency, and they can be used by staff, guests, etc. for charging private cars.

The charging chip

The charging chip opens for charging at all Nat-Tech locations, in addition, it also opens for charging on the go if there is a need to fast charge on the trip. Please note that roaming prices can be high, so primary charging of the car must always take place at Nat-Tech's official car parks. To see roaming prices and which charging stations are open between locations, you can download the Spirii Go app. Nat-Tech's charging stations will not appear in Spirii Go, as they are not publicly accessible.

If you have the old white charging card, it will not work after the old charging stations have been moved over to the common solution.

In special cases, Nat-Tech Byg Administration can be contacted if a charging is to be started manually without a Verdo charging chip.

Self-help and contact persons

Verdo

In the event of a fault or help with the charging box and charging, contact Verdo. They have 24/7 - 365 phone support on their main number: +45 7010 0230. The agreement also includes a service at the charging stations with monitoring, troubleshooting, etc.

Types of charging stations and charging instructions

Zaptec Pro and Zaptec GO

Guidance:

Start charging

1. Unlock the car

2. Plug cable into car and charging station

3. Place your charging chip on the symbol on the charging box

4. Wait for a beep – charging will start, and the cable will be locked. The charging station should light up BLUE

5. Check that the car starts charging on the display in the car with x kW. If the cable is not attached properly, charging will not start, or the car will charge at a reduced speed

Stop charging

1. Unlock the car

2. Release the cable via the car's functions

  • Kia - Press the unlock button on the key twice
  • Tesla - Tap "Lightning" in the app/on the display in the car or "Unlock charging port".

3. Remove the cable from the car first

4. The charger should glow white or green and the cable can be carefully removed from the charger

5. Remember to take the cable with you in the car if it normally belongs in it 😊

Guidance:

Start charging

1. Unlock the car

2. Place your charging chip on the symbol on the charging box until a beep is heard

3. Press the green start button on the side the cable is to be mounted in

4. Plug cable into charging station and car. The two lights by the cable on the charging station should be GREEN, indicating that the cable is locked, and charging is starting

5. Check that the car starts charging on the display in the car with x kW. If the cable is not attached properly, charging will not start, or the car will charge at a reduced speed

Stop charging

1. Unlock the car

2. Scan the charging chip

3. Press stop on the charging station

4. Release the cable via the car's functions, if the cable has not been released by unlocking the car and pressing stop on the charging station

  • Kia - Press the unlock button on the key twice
  • Tesla - Tap "Lightning" in the app/on the display in the car or "Unlock charging port".

5. Disconnect the cable from the charging station and car

6. Remember to take the cable with you in the car if the cable normally belongs to the car 😊
