Role
AU’s head of press and communication, or AU’s head of press and communication’s deputy, should be part of the emergency response group or emergency management team if possible, or should appoint persons to this group/team – a press officer to the emergency management team, and a communication coordinator to the emergency response group, if an emergency response group has been formed.

AU’s head of press and communication is responsible for the university’s communication via websites and social media (Facebook and Twitter).

AU’s head of press and communication will be contacted by deputy directors and others concerning communication in relation to business continuity. In matters involving the police, it may be necessary to coordinate the internal communication with the police.

AU’s head of press and communication is also responsible for all contact to the press and makes agreements with the university director about who will make statements on behalf of the university.

In cases involving the police, AU’s head of press and communication should contact the person who reported the incident and explain that it may be necessary to exercise restraint in relation to the press out of regard for an ongoing police enquiry. AU’s head of press and communication is expected to coordinate all external communication with the police.
 

Tasks

  1. Send for personnel from AU Communication and Press, the Rector’s Office, to handle tasks related to the press, web and social media.
  2. Assign people to the emergency management team and the emergency response group, and inform the emergency duty officer about this.
  3. Establish a communication centre.
  4. Establish contact with the head of emergency management (the university director) and agree who will make statements on behalf of the university.
  5. Contact the person who first reported the emergency.
  6. Send for a translator.
  7. Go to the site of the emergency if relevant.
