Arts' appendix to the rules for Friday bars

Supplement to "AU's principles and rules for holding Friday bars, parties, and other events where alcohol is sold" applicable to Arts

Applicable to students at Arts
All Friday bars and student-run parties at Arts must be held on Fridays and end no later than 2:00 AM. After this time, all participants must leave AU, and the event organizers must begin cleaning and ventilating the premises so that the rooms are ready for use the next day.

Regarding 3. Registration

  • (Regarding 3.a.:) The form for registering a party association/Friday bar is submitted to the University Management's Staff as well as to Arts Building Services.
    • Chairperson changes can take place twice a year – in December and June. Introduction meetings are held in January and August.
  • (Regarding 3.b.:) Friday bars apply for room loans by completing and signing a room agreement valid for Fridays from 16:00 to 02:00. The room loan agreement is signed by the Friday bar chairperson, the Head of Department, and Arts Building Services.
  • (Regarding 3.b.:) For other events that include alcohol or dining/dinners, a room loan agreement must be completed and signed. The event organizer is responsible for completing and signing the room loan agreement.
  • (Regarding 3.c.:) Due to capacity reasons, students' private events such as graduation receptions cannot take place in Arts' premises.

Regarding 4. Roles and responsibility

  • Obligations and Responsibilities:
    • The house representative is co-responsible for considering requests for room loans. When entering into the room loan agreement, Arts Building Services and the house representative approve and sign it.
    • The event organizer must, in connection with the execution of the activity, be able to present a completed and signed room loan agreement at any time – for example, during visits by authorities and/or other stakeholders.
    • The house representative participates in an annual coordination meeting with Arts Building Services.
    • Arts Building Services convenes the Friday bars at Arts for semi-annual semester meetings in Aarhus/Emdrup, where the execution of the Friday bars is discussed with a focus on practical matters regarding planning, subsequent cleaning, tidying up, etc. The meetings are held, as far as possible, in the middle of the semester.
  • (Regarding 4.c.:) The Friday bar chairperson is obliged to familiarize themselves with and comply with the applicable responsibilities at Arts. At each Friday bar, there is a reporting obligation to Arts Building Services.
  • The reporting obligation includes that the bar chairperson/event organizer for the Friday bar reports in an email to Arts Building Services about the progress of the Friday bar. Any deviations from normal operation are described in this email. The reporting must take place immediately after the end of the Friday bar. The reporting must be sent to the following email address: artsbyg@au.dk.
    • For parties where alcohol is included, reporting must also be sent to Arts Building Services at artsbyg@au.dk after the activity has ended.

Regarding 5. Guidelines for the events

  • (Regarding 5.a.:) All Friday bars at Arts agree on opening hours with the house representative for one semester at a time. The semester plan is submitted to Arts Building Services no later than two weeks before the first Friday bar of each semester. AU's general rules must be followed. The opening hours are compiled into a comprehensive semester plan for all Friday bars at Arts.
  • The semester plan for holding Friday bars and opening hours is binding unless otherwise stated in writing and approved by Arts Building Services at least two weeks in advance.
  • (Regarding 5.b.:) Study areas and cafeterias are used for festive events, while classrooms are exclusively used for teaching and other academic activities.
